How to manage AI Employees

What this does

Create, configure, and manage AI Employees that appear alongside workspace members and can support assigned work where the workspace has the required entitlement.

Current access and functionality

  • Verified against the current impact-web, impact-client, and impact-marketplace code on 2026-05-07.
  • AI Employees are managed in impact-web. The current app exposes an AI Employees dashboard and member-level AI employee settings instead of treating AI Employees as a completely separate staff directory.
  • AI Employee creation and management require workspace owner or admin access and the AI Advanced entitlement.
  • Workspace capacity and available AI Employee seats can limit creation. When the limit is reached, admins must adjust subscription or entitlement capacity before adding more AI Employees.
  • Staff users may work with AI Employees only through the workflows they are allowed to access; they do not manage AI Employee setup unless granted admin-level access.

What admins can do

  1. Open AI Employees from the web menu or access AI Employee settings from the member management area.
  2. Review the AI Employee dashboard for existing AI Employees and workspace capacity.
  3. Create an AI Employee when the workspace has available entitlement capacity.
  4. Configure profile, workspace assignment, and behaviour settings.
  5. Review member-level settings where AI Employee controls are attached to a person, workspace, or team context.
  6. Disable or adjust an AI Employee when access, subscription, or operational requirements change.

Setup checklist

  • Confirm the workspace has the AI Advanced entitlement.
  • Confirm there is available AI Employee capacity in the subscription or entitlement allocation.
  • Decide which workspace, team, or process the AI Employee supports.
  • Keep names and descriptions clear so staff can distinguish AI Employees from human members.
  • Review permissions and assignments after any organisation or subscription change.

Common issues

  • Issue: AI Employees is missing from the menu. Fix: Confirm the workspace entitlement and user role.
  • Issue: The create action is blocked. Fix: Check AI Employee capacity and subscription limits.
  • Issue: A staff user cannot edit an AI Employee. Fix: Management actions require owner or admin access.
  • Issue: AI Employee settings are visible in member screens but not editable. Fix: The current user may have read access without the required management permission.
