How to create reusable checklist templates

What this does

Explains current checklist template management in IMPACT Web. Checklist templates are reusable workspace/company checklists that can be attached to tasks or imported from marketplace inventory.

Current access and functionality

  • Verified against the current impact-web, impact-client, and impact-marketplace code on 2026-05-07.
  • Checklist listing and editing are available from the Checklists area in impact-web.
  • Creation, editing, duplicate, archive, restore, and marketplace import actions require workspace admin/owner permission and an active workspace.
  • Staff can complete assigned task checklists when they have task access, but they cannot manage company checklist templates unless granted management access.
  • Checklist storage and AI-generation usage can be limited by subscription entitlements.

Before you start

  • Select the correct workspace.
  • Confirm the user is a workspace owner/admin or otherwise permitted to manage checklists.
  • For marketplace templates, acquire the checklist in impact-marketplace first.

Steps

Creating a checklist template

  1. Open Checklists from the sidebar.
  2. Choose the create action.
  3. Select blank, marketplace import, or AI-assisted generation when those options are available.
  4. Add steps and substeps, including response types such as text, number, date/time, file/image, checkbox, radio, range, currency, location, or metrics where needed.
  5. Save the template.

Using a checklist in a task

  1. Open the task.
  2. Open the task checklist area.
  3. Add or select a checklist where permitted.
  4. Complete the checklist responses as part of the task workflow.

Importing from marketplace

  1. Open Checklists in impact-web.
  2. Choose the marketplace/import option.
  3. Select a purchased checklist template from inventory.
  4. Confirm the target workspace and import.

Common issues

  • Issue: The create or import button is missing. Fix: Check workspace admin/owner permission and workspace status.
  • Issue: A staff user can complete but not edit checklist templates. Fix: Template management is an admin/workspace-management action.
  • Issue: Import fails. Fix: Confirm the purchased item is a checklist template and that the target workspace is active.
