How to use checklists in tasks

What this does
Attach checklists to tasks to define exactly what needs to be done, verified, and accepted. Checklists break work into trackable items with completion status and optional verification.
Current access and functionality

impact-web, users must be signed in and working in an active workspace. Navigation and write actions are role-, permission-, and entitlement-aware; unavailable modules are hidden or disabled instead of being universally visible. - In
impact-client, the mobile app covers day-to-day work such as tasks, checklists, projects, surveys, members, dashboards, and marketplace template usage. Administrative setup and some advanced configuration remain web-first. - Checklist creation and template management require workspace admin or owner access in web. Staff can use assigned task checklists where task access permits.
- Task access is scoped by workspace, project, team, and assignment. Users can act on tasks they are assigned to or permitted to manage; project managers and team leaders have broader controls for their areas.
Before you start
- You must have an existing task within a project.
- You must have edit permissions on the task.
Steps
Adding a checklist to a task
- Open the task detail view.
- Go to the Checklists section.
- Click Add Checklist.
- Choose how to create it:
- From scratch — enter a name and start adding items manually.
- From a company template — select a reusable checklist template that has been set up for your company.
- From the marketplace — import a pre-built checklist from the IMPACT marketplace.
- Enter a Name for the checklist and optionally set its Type (Action, Verify, or Accept) to tie it to a specific workflow stage.
- Click Save.
Adding checklist items
- Inside the checklist, click Add Item.
- Enter the item details:
- Name — what needs to be done or checked.
- Description — additional detail or instructions (optional).
- You can create nested items by adding child items under a parent, useful for breaking complex items into sub-steps.
- Drag items to reorder them as needed.
Completing checklist items
- As work progresses, tick off items by clicking the checkbox next to each one.
- Each completed item records who completed it and when.
- The checklist shows an overall completion percentage based on how many items are done.
Verifying checklist items
- During the Verify stage, the Verify SME can review each item.
- Verified items are marked with a separate verification timestamp and user.
- This creates a clear audit trail of who did the work and who confirmed it.
Tips
- Align checklist types with workflow stages: use Action checklists for what the doer must complete, Verify checklists for what the reviewer must check, and Accept checklists for final approval criteria.
- A task can have multiple checklists — for example, one for technical requirements and another for documentation.
- Use checklists to capture evidence of completion, not just status. Add descriptions that specify what proof is needed (e.g., "Screenshot of test results attached").
Common issues
- Issue: Checklist completion percentage is not updating — Fix: Make sure you are clicking the checkbox on the item itself, not just editing it. Items must be explicitly marked complete.
- Issue: Cannot add items to a checklist — Fix: Check that you have edit permissions on the task. View-only users cannot modify checklists.
