How to define and track KPIs

What this does

Define Key Performance Indicators (KPIs) for your company and track them over time. KPIs measure how effectively individuals, teams, or the organisation are achieving key objectives.

Current access and functionality

  • Verified against the current impact-web, impact-client, and impact-marketplace code on 2026-05-07.
  • In impact-web, users must be signed in and working in an active workspace. Navigation and write actions are role-, permission-, and entitlement-aware; unavailable modules are hidden or disabled instead of being universally visible.
  • Performance and people analytics depend on workspace roles and available data. Setup is primarily web-based; staff visibility is limited to their own or permitted team/member views.

Before you start

  • You must be an admin with KPI management permissions.
  • Decide what you want to measure — KPIs should be specific, measurable, and time-bound.

Steps

Creating a KPI

  1. Navigate to the KPI section from the left navigation.
  2. Click Create KPI.
  3. Fill in the KPI details:
    • Name — a clear, descriptive name (e.g., "Monthly Sales Revenue", "Customer Satisfaction Score"). Supports multiple languages.
    • Description — what this KPI measures and why it matters.
    • Scope — whether this KPI applies company-wide or to specific teams/roles.
    • Type — the category of KPI.
    • Global flag — set to global if this KPI applies across all companies (template KPI).
  4. Set the effective period:
    • Effective From and Effective To — when this KPI is active.
    • Recurring Interval — how often the KPI is measured (e.g., monthly, quarterly).
  5. Define targets:
    • Set target values with effective dates.
    • Use target tags to categorise targets (stored as JSON for flexibility).
  6. Click Save.

Assigning KPIs

  1. Open the KPI detail page.
  2. Go to the References section.
  3. Link the KPI to:
    • Projects — measure KPIs within a specific project context.
    • Teams — track team-level performance.
    • Roles — set role-specific expectations.
  4. Each reference can have its own recurring interval.

Tracking milestones

  1. Within a KPI, add Milestones to mark key checkpoints.
  2. Each milestone has an effective date and target tag.
  3. Use milestones to track interim progress toward the final KPI target.

Monitoring KPIs

  1. View the KPI Summary for a high-level overview of all active KPIs.
  2. Click into individual KPIs for detailed tracking.
  3. KPIs can be suspended if temporarily not applicable.

Tips

  • Start with 3-5 KPIs per team. Too many KPIs dilute focus.
  • Set recurring intervals that match your review cycle (e.g., monthly KPIs for monthly reviews).
  • Use the multilingual support to define KPI names in both English and Bahasa Malaysia for mixed-language teams.
  • KPI performance feeds into IPA scoring — defining clear KPIs means more accurate performance assessments.

Common issues

  • Issue: KPI shows no data — Fix: Check that the effective period includes the current date. Expired KPIs are not tracked.
  • Issue: Cannot assign KPI to a team — Fix: Ensure the team exists and you have management permissions for it.
