How to manage workspace members

What this does

Explains how member access works in the current IMPACT Web app, including invitations, workspace membership, role switches, feature permissions, and entitlement limits.

Current access and functionality

  • Verified against the current impact-web, impact-client, and impact-marketplace code on 2026-05-07.
  • Member management is web-first and requires the user to be signed in with an active workspace.
  • Workspace owner/admin users can invite members, manage membership settings, and update role flags when the workspace is active.
  • Staff users can view permitted member/profile information but cannot manage workspace-level roles unless granted the relevant admin role.
  • AI employee settings appear in member areas only where the workspace has the required AI entitlement and the user has admin access.

Roles and access controls

Current member access is controlled by workspace relationship flags and per-feature permissions, including:

Steps

Inviting a member

  1. Open Members from the sidebar.
  2. Use the invite action when it is available.
  3. Enter the invitee email and choose the target workspace or workspaces.
  4. Send the invitation. The invitee must accept using the same email address.

Updating member access

  1. Open the member profile from Members.
  2. Open workspace or membership settings for the member.
  3. Update role flags, reporting manager, tags, work week, or feature permissions where the UI allows it.
  4. Save changes. The user's menu and available actions update from the permission matrix.

Removing or restoring access

  1. Open the member or workspace membership action menu.
  2. Remove, suspend, restore, or reactivate access only where the workspace status and entitlement limits allow it.
  3. Reassign work before removal when the member owns active tasks or responsibilities.

Common issues

  • Issue: The invite action is missing. Fix: Check that the current user is a workspace owner/admin and that the selected workspace is active.
  • Issue: A member can sign in but sees limited navigation. Fix: Check workspace selection, role flags, feature permissions, and subscription entitlements.
  • Issue: An AI employee setting is disabled. Fix: Confirm the workspace has the required AI entitlement and available seat capacity.
