How to manage subscriptions and entitlements

What this does
Manage subscription plans, entitlement allocation, subscription requests, and feature limits that control which IMPACT modules a workspace can use.
Current access and functionality

impact-webto users with owner or admin access. - Subscription pages support plan review, subscription detail, plan selection, cancellation or request flows where enabled, and request follow-up.
- Entitlement pages support workspace or member entitlement assignment and feature-limit review.
- Some modules are hidden or disabled unless the matching entitlement is active, such as Channel, Knowledgebase, Scheduler, or AI Advanced functionality.
- Feature limits can block actions even when a module is visible. Examples include member capacity, AI Employee capacity, or other usage-based limits.
What admins can do
- Open the subscription or plan area from the profile, account, or workspace controls.
- Review the active plan and subscription details.
- Compare available plans where plan selection is enabled.
- Submit subscription changes, cancellation requests, or other request flows where the app exposes them.
- Open entitlement management for a member or workspace.
- Assign, remove, or review entitlements based on purchased capacity and workspace requirements.
- Review feature-limit dialogs when an action is blocked by quota or overuse.
Admin checklist
- Confirm who is authorised to make billing or subscription changes.
- Review current usage before downgrading or cancelling a plan.
- Check entitlement allocation after changing plans.
- Validate module access after applying subscription keys or entitlement changes.
- Keep support or partner approval records for request-based changes.
Common issues
- Issue: A module is missing even though the user is an admin. Fix: Check whether the subscription includes the module entitlement.
- Issue: The user can open a module but cannot create more records. Fix: Review feature limits and current usage.
- Issue: A subscription change is not applied immediately. Fix: Check whether the change uses a request workflow that requires approval or processing.
- Issue: A member cannot access an entitled feature. Fix: Confirm both workspace entitlement and member/workspace assignment.
