Onboarding a new hire

What this does

Gives a current IMPACT workflow for preparing a new hire to work in web and mobile: invite them, add them to the right workspace/team/project context, assign starter tasks, and use checklists for repeatable onboarding work.

Current access and functionality

  • Verified against the current impact-web, impact-client, and impact-marketplace code on 2026-05-07.
  • In impact-web, admins manage members, teams, projects, tasks, and checklist templates from the relevant feature areas.
  • In impact-client, staff can handle day-to-day assigned work such as tasks, checklists, surveys, and project/member views. Administrative setup remains web-first.
  • Checklist creation and template management require workspace admin or owner access in web. Staff can use assigned task checklists where task access permits.
  • Task access is scoped by workspace, project, team, and assignment.

Before you start

  • You need workspace owner/admin access.
  • Have the new hire's email, target workspace, team, reporting manager, and first project or task context ready.
  • Prepare a checklist template if this onboarding flow repeats.

Before day 1

  1. Open Members and invite the new hire using their correct work email.
  2. Add or confirm the workspace membership settings they need.
  3. Add them to the relevant team or project team.
  4. Create starter tasks for first-week setup, reading, introductions, and required forms.
  5. Attach a checklist to tasks that must be completed in a standard order.

Day 1

  1. Confirm the invite has been accepted and the user can sign in.
  2. Walk them through workspace selection, My Dashboard, My Tasks, project pages, and mobile task/checklist usage.
  3. Explain the task workflow and how verification/acceptance works in your team.
  4. Confirm notification and email delivery so assignments are visible.

First week

  1. Review My Tasks with the new hire and remove blockers.
  2. Confirm their project/team membership lets them see the correct work.
  3. Use checklist completion to track mandatory setup items.
  4. Schedule a review/check-in using your normal performance or team process.

Common issues

  • Issue: The new hire accepted the invite but sees no work. Fix: Check workspace selection, project/team membership, and whether tasks are assigned to them.
  • Issue: The invite was accepted with the wrong email. Fix: Reinvite using the same email identity the user signs in with.
  • Issue: They can view tasks but not edit/manage them. Fix: Check assignment, project role, team role, and workspace permissions.
